Process of invoices through an Oracle based finance system -- creating, monitoring, and updating purchase orders; receiving goods; processing invoices for payment; liaising with Finance and vendors.
Manage HR team's content on Intranet site, reviewing and updating as needed.
Update and maintain databases used to track arrivals, departures, and changes in personal circumstances.
Maintain and process the Educational Allowances for UK Based staff.
Process simulated unemployment claims and submit to payroll for payment.
Organize current filing system for HR team to include active, terminated, and archived files.
File all paperwork for payroll, benefits, and protocol teams.
Process monthly expense claim via online system, charging expenses to the appropriate budget and group.
Provide administrative support and assistance on large projects.
Maintain office supplies for HR team, ordering additional items as needed.
Book conference rooms for recurring and ad-hoc meetings.
Carry out other administrative tasks such as copying, faxing, shredding, etc.
Perform other related duties as required and assigned.


Minimum Qualifications/Experience:
· One to two years relevant work experience.
· Excellent oral and written communication skills as well as organizational skills.
· Outstanding interpersonal and communication skills, with the ability to work with people at all levels in a fast paced environment.
· Must be able to work independently as well as part of a team.
· Proficient in all MS Office applications, specifically Word and Excel.

 



Position Title: Benefits Coordinator

Assist with the administration of  health and welfare benefit plans, as well as administration under COBRA, FMLA, ADA and HIPAA. This position will also assist with conducting weekly new employee orientations, serve as a liaison between employees and insurance carriers, communicate benefit plan information, assist with maintenance of employee information. Assist with implementing innovative work processes; provide customer service to staff, and perform general administrative and analytical duties to support the. Position requires a high degree of accuracy, accountability, attention to detail, confidentiality and ability to multi-task in a fast pace environment. Additionally, the ability to communicate effectively, both written and oral, and to work in a team-centered environment is essential. Excellent opportunity for a detail oriented person with initiative to continue to learn and grow in the HR field.




Position Title: Payroll Specialist

Processes new hires/rehires, including tax withholdings, and the assignment of badge numbers

Processes all terminations ensuring removal badge numbers
Screens time worked inputs for calculating, coding, or other errors. Works with Administrative staff to provide support and training

Compiles, analyzes, prepares, and inputs payroll data to produce accurate and timely payroll

Monitors Benefit interface to ensure accurate benefit deductions
Reviews various payroll reports and payroll register to ensure accuracy
Calculates and enters pay for employees including payments and donations

Monitors quarterly tax reports reconciling any discrepancies ensuring the accuracy of year-end W-2s

Reviews and processes any employee garnishment ensuring compliance with demand served

Ensures compliance with all applicable state and federal wage and hour laws
 
Prepares management reporting as requested (benefit deductions, rosters, etc.)

Prepares payroll journal entries

Prepares billing reports in support of the Accounting billing function

Maintains current on Payroll systems to achieve alignment with HR, benefits, etc. to ensure effective accounting support

May assist with the development of payroll policy and procedures, contingency plans, and process improvements
